PURCHASE COMMITTEE

The Purchase Committee at our college is a committed body responsible for overseeing and managing the procurement of goods and services essential for the institution’s operations. Comprised of selected faculty and staff members, the committee ensures that all acquisitions are conducted transparently, efficiently, and in alignment with the college’s standards and requirements. By meticulously evaluating suppliers and service providers based on factors such as price, quality, and availability, the Purchase Committee upholds the integrity of the procurement process, thereby contributing significantly to the institution’s mission of delivering quality education.

The major objectives of the Purchase Committee are:
  • Supervise Campus Purchases:
  • Oversee all procurement activities within the campus to ensure consistency and compliance with institutional policies.
  • Analyze and Recommend Quotations:
  • Evaluate quotations provided by various departments and offer informed recommendations for approval, ensuring optimal value for the institution.
  • Ensure Accurate Documentation:
  • Maintain precise and comprehensive records of all procurement processes to uphold transparency and accountability.
  • Verify Compliance of Supplies/ Services:
  • Confirm that all procured supplies and services meet the specified requirements and standards set by the college.
  • Seek Clarifications from Suppliers:
  • Engage with suppliers or service providers to clarify any ambiguities, ensuring a clear understanding of terms and conditions.
  • Uphold Procurement Principles:
  • Ensure proportionality, transparency, accountability, and fairness throughout the procurement process.
    The following are the main functions of the Purchase Committee:
  • Collect and Compile Requirements:
  • Gather and organize lists of equipment, computers, and other necessary items required annually by various departments and offices.
  • Invite and Evaluate Tenders:
  • Solicit sealed tenders from manufacturers, suppliers, and dealers, and assess their validity and suitability in the presence of the Principal.
  • Maintain Stock Registers:
  • Oversee the upkeep of stock registers for different items to ensure accurate tracking and accountability.
  • Conduct Periodic Reviews:
  • Regularly inspect and assess the condition and utilization of various items within the institution to ensure optimal use and maintenance.
  • Ensure Compliance with Procedures:
  • Verify that all necessary procurement procedures are properly followed, including adherence to any relevant donor or regulatory guidelines.
    Through these objectives and functions, the Purchase Committee plays a key role in maintaining the operational efficiency and integrity of our college’s procurement activities.
